Who we seek:

We seek a skilled project estimator, passionate about innovation in wood architecture, with experience in the fields of architecture, engineering and construction. Experience of the UK and/or European engineered timber industry would be particularly valuable. You will be reviewing design and specification information to produce accurate tender estimates for projects and assisting the sales team with tenders. We value team collaboration so while there is flexibility to work from home, we expect regular time at the Office. This is an exciting time to join us as we bring on new exciting projects and start to grow our team to achieve our company vision and targets.

Summary of role requirements:

· Review tender documentations received from potential clients

· Produce an accurate bill of quantities from tender documents

· Approach the supply chain to obtain material and subcontract quotations

· Analyse, compare and negotiate any quotations received

· Produce project estimates using in-house software

· Produce project programmes for tender response

· Produce tender responses

· Maintain a record of component prices and square meterage rates to act as price guides- available to a sales team

· Liaising with both clients & subcontractors effectively

· Attending meetings to assist with completing tenders

· Overseeing other’s quotes where necessary

· Supporting the Sales Manager with Sales tasks as necessary

· Take measures from issued 3d models

· Build pricing using 3D modelling

Key Skills and Qualifications:

· Commercial construction background (structural timber industry is preferred)

· Good communicator with clients, potential clients and colleagues

· Be highly organised Data driven and experienced using metrics

· Understanding of commercial tendering process and procedures.

· Confident IT skills, proficient in the use of MS Office

· Have experience of 3D and BIM software

· Self-motivated and self-managing

· High level proficiency of IT is essential.

· Ability to prioritise and multi task multiple projects/tasks at any one time

· Able to work to tight and strict deadlines

· Ideally have experience of construction contract forms ie. JCT or NEC

· Be self-sufficient and collaborate with others to deliver great results

Xylotek seeks a Quantity Surveyor to join its team in delivering exceptional timber construction projects.

Based in Bristol, the QS will work with our designers and project managers to ensure efficient financial control across our projects.

Key responsibilities will include commercial management of project finances, overseeing procurement, cash flow, and tracking design variations. Xylotek designs and delivers advanced timber structures in the UK and internationally, for top tier clients and architects.

Role overview

The quantity surveyor will ensure efficient financial control across contracting, estimating, budgeting, programming and purchasing activities within the company. The focus will be on cost management, cash flow forecasting, and enhancing value in operations, estimating and project accounting.

You will report to the operations director and play a critical role in supporting the successful delivery of projects once they enter the construction phase.

Your responsibilities will include commercial management of project finances, overseeing procurement, cash flow and ensuring projects meet financial targets.

The project management and design teams will provide support,and you will report back on lessons learned to the sales and estimating teams. Additionally, you may be asked to offer insights to the estimating team based on your experience with similar projects.

Key responsibility areas (KRAs)

KRA 1 – procurement:

develop a procurement strategy aligned with company and project budgets
create and manage procurement protocols, including standard templates for requesting prices to ensure clarity in the procurement process
maintain and foster relationships with supply chain partners

KRA 2 – management:

manage the requisitions system to ensure seamless material and resource procurement
create and manage variation documentation as directed by the project manager
document design changes and update budgets accordingly
approve purchase orders while ensuring cost control
collaborate with client teams where needed to manage expectations and provide superior service
forecast expenditures against the project program and work closely with project managers on the overall project timeline and client expectations
collaborate with the estimating team to set price codes and cost centres
negotiate and finalise project accounts
measure, record and accurately value work
build and manage project cashflows and financial programmes to meet objectives

KRA 3 – due diligence:

oversee contract financial management, ensuring all financial aspects are tightly controlled
scrutinise maintenance, plant, resource and material costs to ensure procurement offers value for money
build and expand the supplier network
arrange pre-qualification questionnaires (PQQs) for suppliers to ensure quality
oversee all tendering and estimation processes to ensure competitiveness and accuracy

KRA 4 – reporting:

report to the operations manager and executive board on the financial performance of each project
prepare reports, analyses, contracts, budgets and other necessary documentation
contribute to lessons learned sessions post-project to improve future performance and strategies
